FINANCE TIPS FROM JULIE

Julie Doyle is my business finances guru, and this week she is generously sharing some of her wisdom around Building a Financial Safety Net: Why Your NFP Needs a Reserve Fund.

This week Julie says:

Every Not-for-profit faces financial ups and downs—unexpected expenses, funding changes, or economic downturns can put pressure on your organisation too. That’s why having a reserve fund (also known as a “rainy day” or “buffer” fund) is essential.

A well-planned reserve can help ensure stability, allowing your NFP to continue serving the community even when challenges arise.

How Much Should You Save?
There’s no one-size-fits-all approach, but here are some key factors to consider when setting up your reserves:

Operating Expenses – A common rule of thumb is to keep 3 to 6 months’ worth of expenses in reserve. If your NFP is smaller or has limited access to emergency funding, you may want to set aside more.

Revenue Patterns – If your funding is seasonal or unpredictable, you may need larger reserves to cover periods of lower income.

Legal and Board Requirements – Some organisations are required by law or their governance Board to maintain a specific level of reserves. Regularly reviewing these requirements ensures compliance.

Mission and Service Continuity – If your NFP provides critical services, consider how much funding would be needed to keep your programs running in case of financial shortfalls.

Projects and Asset Maintenance – If your NFP owns equipment or property, factor in future costs for repairs, upgrades, or replacements.

Keeping Your Reserves Strong
– Regularly review your financial position and adjust your reserves as needed.
– Consult financial advisors or experts in the NFP sector for guidance.
– Ensure transparency with your board, team, and stakeholders about financial planning.

A solid reserve fund protects your mission and your community, allowing your NFP to navigate challenges without disruption.

By planning ahead, you can strengthen your financial foundation and continue making the important difference that you do, in your space!
